YSM Roles

Example

YSM Supervisor of Service Provider Organization The YSM Service Provider Supervisor usually registers their organization on YSM, enters organization information, creates the list of programs, assigns YSM Program Managers and manages other memberships within their organization in YSM. The YSM Supervisor will also need to reassign their YSM role to another member of their organization if they leave. They have full access to YSM, including viewing reports.  
YSM Program Manager of Service Provider Organization YSM Program Manager enters program data into the YSM system and is responsible for keeping the program up-to-date within YSM. If you are the YSM Supervisor and are assigning the PM to a program for your organization,the drop down menu will include all currently registered YSM members. If the person is not listed, please select "Not Listed" and provide the person's email address in the box provided. They have full access to YSM, including viewing reports.  
YSM Supervisor of School District The YSM School District Supervisor usually registers their School District in YSM, enters District information, creates a list of schools and assigns supervisors for each campus. They also will manage memberships of other YSM members for the District. The YSM Supervisor will also need to reassign their YSM role to another member of their organization if they leave. They have full access to YSM, including viewing reports.  
YSM Supervisor of Funder/Sponsor Organization The YSM Funder/Sponsor Supervisor will usually register their organization in YSM, enter organizational information and manage other memberships for their organization within YSM. The YSM Supervisor will also need to reassign their YSM role to another member of their organization if they leave. They have full access to YSM, including viewing reports.  
YSM Supervisor of Coalition Organization The YSM Coalition Supervisor will usually register their organization in YSM, enter organizational information and manage other memberships for their organization within YSM. The YSM Supervisor will also need to reassign their YSM role to another member of their organization if they leave. They have full access to YSM, including viewing reports.  
Counselor/Educator Counselors and educators within a school setting will register as YSM members under their selected School District of school campus and will have full access to YSM features, including reports.  
YSM Member YSM members will register as a member of their affiliated organization and will have full access to YSM features, including reports.  
Public User Limited use of YSM is available to the public. Anyone can search for services, view registered organizations and find program information, but do not access to YSM reports.

Program Profile Terms

Enabled/Disabled Program If a program is not currently running, it can be disabled. A disabled program can still be edited, however, it will not show up in searches and reports. To have the program show up, it can be "enabled" again in your management grid  

Program Class

Direct Provides services directly to youth Counseling, mentoring, case management, life skills, tutoring, summits, fairs, etc.
Capacity-building Intermediary services that help adults improve conditions for youth, but do not provide services directly to children/youth Parent education, employee training, program assessment, etc.

Program Type

In-depth Direct services provided or available on call for individual participants and/or groups. Youth generally join an in-depth program or are referred for services. Counseling, mentoring, after-school programs, diagnostics, case management, etc…
Periodic A series of workshops or modules for classes or groups, generally curriculum-based activities that follow a set progression. Periodic programs are usually presented to an existing class or group rather than taking individual referrals. Junior Achievement, a life skills curriculum, etc…
Events One-time events. These events may run multiple times, but are designed for each child to participate once. Presentations, fairs, guest speakers, engagements, performances, etc…

Program Profile Sections

Program Description This section has general information about the program  
Eligibility Information about which children and youth are eligible to receive the program's services. The program may be "open to" multiple types of participants or it may have specific "requirements" for youth who are referred.  
Services and Outcome Measures Services delivered through the program and the success criteria used to measure effectiveness  
Service Settings and Locations Describe when and where services are offered, the seasonal programming and the referral information  
Last Update Date enrollment information was last updated  

Program Description Section

Evidence-based Program A program is evidence-based if a) evaluation research shows that the program produces the expected positive results; b) the results can be attributed to the program itself; c) the evaluation is peer-reviewed by experts in the field; d) the program is "endorsed" by a federal agency or respected research organization and included in their list of effective programs. Languages Supported The YSM system defaults each program language to English, but you can add other languages that your program is able to communicate as well. English, Spanish, Arabic
Program Web Site If you have a program specific web page, please enter it's web address (i.e. http://www.myprogram.com) here. http://www.ysm-austin.org
Program Enrollment Form If you have an enrollment form as a pdf or word document, you may upload it into YSM here. Your form will upload when you click "Submit" at the bottom of the page.  
Referral Contact This is the person who will be listed as the contact for referrals and will be visible to people viewing your program profile. If the referral contact is not listed but there is a Program Manager assigned to this program, the Program Manager will automatically be listed as the contact in YSM seach results.  
Enrollment Status The enrollment status will automatically default to "open" for the current semester. Select "closed" or "wait-listed" if your program is not currently available to take referrals or to service youth during the current semester

Default time of day & frequency settings If the box is checked, these settings will be applied as a default to all your locations for an individual program. You wil have an opportunity to change this for any and all locations you choose. Before school, evening, daily, weekly

Computer/Technical Terms

JavaScript Enabled JavaScript is a scripting language that allows the user to interact with a website. Many websites require the user to have JavaScript enabled to view pop up windows, enter data, and/or to view some web pages. To enable JavaScript for Internet Explorer 7: 1) On the Tools menu, click Internet Options, and then click the Security tab. 2) Click the Internet zone. 3) If you do not have to customize your Internet security settings, click Default Level. Then do step 4. 4) If you have to customize your Internet security settings, follow these steps: a). Click Custom Level b). In the Security Settings – Internet Zone dialog box, click Enable for Active Scripting in the Scripting section.

To enable for Firefox 3: 1) Select 'Tools' from the top menu 2) Choose 'Internet Options'3) Click on the 'Content' tab 4) Make sure the box “Enable JavaScript” is checked.
Browser The browser is the web engine someone is using to search the internet. The most common browsers include Internet Explorer (IE), Firefox Mozilla, and Google Chrome. YSM works best with "newer" versions of IE and Mozilla such as IE 7 (or higher) and Firefox 3 (or higher). These can easily be downloaded for free online.

To determine what version of Internet Explorer you are using: 1) Go to "Help" on the navigation bar. 2) Select "About Internet Explorer". You will see the version listed in a pop up window.

To determine what version of Firefox you are using: 1) Go to "Help" on the navigation bar. 2) Select "About Mozilla Firefox". 3) You will see the version listed in a pop-up window.
